About the Role
We’re looking for an experienced and personable Treatment Coordinator (TCO) to join our patient-focused dental team in Truro. This is a dynamic, patient-facing role that bridges clinical care, communication, and coordination.
As TCO, you’ll guide patients through their treatment journey—from first enquiry to final visit—ensuring a smooth, supportive, and informed experience throughout. You’ll also work closely with the clinical and admin teams to boost treatment acceptance, enhance patient satisfaction, and keep everything running efficiently.

As TCO, you’ll guide patients through their treatment journey—from first enquiry to final visit—ensuring a smooth, supportive, and informed experience throughout. You’ll also work closely with the clinical and admin teams to boost treatment acceptance, enhance patient satisfaction, and keep everything running efficiently.
What You’ll Be Doing Patient Journey & Case Management
- Manage all new enquiries and input data into patient management systems (PMS/CRM).
- Welcome new patients, complete medical histories, and conduct smile assessments.
- Present treatment options clearly, helping patients understand benefits and feel confident in their care.
- Coordinate consultations, follow-ups, and referrals with internal and external clinicians.
- Follow up with patients to encourage treatment acceptance and track ongoing cases.
- Accurately enter and manage treatment plans in the system.
- Schedule appointments, including hygiene visits and follow-ups.
- Maintain and follow up the pending treatment list to fill appointments.
- Prepare and present treatment cost breakdowns and payment options.
- Handle patient check-out, payments, and ensure all records are up to date.
- Provide a warm, welcoming environment at every stage of the patient journey.
- Share welcome packs, clinician profiles, and educational materials.
- Conduct post-treatment follow-up calls and check-ins.
- Capture and store pre- and post-treatment photographs when required.
- Attend team meetings and daily huddles to update on pending cases and conversions.
- Support the clinical team during busy times to prevent delays.
- Assist with admin tasks such as transferring records and requesting radiographs.
- Contribute to marketing efforts and support occasional practice events.
- Follow all GDPR, CQC, and internal practice protocols.
- Maintain patient confidentiality and a professional attitude at all times.
- Complete relevant training and CPD as required.
- Experience in a dental or healthcare setting, ideally in a patient-facing role.
- Excellent communication and relationship-building skills.
- Strong time management and organisational abilities.
- Confident presenting treatment plans and discussing financial options.
- Comfortable using practice management and digital tools.
- Understanding of a range of treatments including implants, orthodontics, and cosmetic dentistry.
- Experience in treatment coordination or sales-based case management.
- Familiarity with marketing, lead tracking, or patient engagement activities.
- Case Acceptance: 70% or more of presented cases converted.
- Follow-Up: 100% of pending cases contacted within 48 hours.
- Patient Satisfaction: 90%+ positive feedback.
- Appointments: 100% of patients leave with the correct follow-up booked.
- Referral Tracking: 100% of referrals logged and followed up.
- Schedule Utilisation: Full use of clinician diaries.
💰 Base Salary: £27,500 per year
💸 Commission:
- 4% on treatment value when 70%+ conversion achieved
- Potential commission: up to £28,800 per year
- £250 for maintaining 90%+ patient satisfaction
- Annual bonus potential: £1,000
- £1,000 for >10% above target | £2,500 for >20%
