We are looking for a confident and experienced Head Administrator/Receptionist to lead our front-of-house team in a busy dental practice. This is a key role, responsible for ensuring excellent patient service, managing day-to-day administrative operations, and supporting a high-functioning clinical team.
You will be the first point of contact for patients and visitors, helping to deliver a smooth, welcoming, and efficient experience throughout their care journey. This role requires strong leadership, attention to detail, and outstanding communication skills.

Key Responsibilities Reception & Patient Coordination
- Greet and check in all patients promptly.
- Update and verify patient information at each visit.
- Manage late arrivals, cancellations, and missed appointments.
- Book and manage interpreter services when required.
- Handle incoming calls and emails courteously and efficiently.
- Ensure accurate filing and patient record-keeping.
- Answer all calls professionally using call scripts and protocols.
- Manage appointment bookings, cancellations, and short-notice changes.
- Provide clear and timely information to patients and clinicians.
- Accurately process referrals and patient data using R4/Dentally (or equivalent).
- Prioritise and fast-track referrals when necessary.
- Ensure patients are booked into the correct clinics and that capacity is fully utilised.
- Communicate referral outcomes and updates to patients.
- Maintain accurate, up-to-date patient records.
- Archive and manage non-clinical documentation as per protocol.
- Support the admin team in maintaining confidentiality and data protection standards.
- Oversee the reception/admin team and daily workflow.
- Manage staff cover during absence or leave.
- Provide ongoing support and guidance to the admin team.
- Support onboarding of new or temporary staff.
- Contribute to team meetings and continuous improvement initiatives.
- Minimum 2 years of administrative or receptionist experience.
- Experience supervising or managing a small team is essential.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Calm, professional, and compassionate, even under pressure.
- Strong organisational and problem-solving ability.
- Comfortable working with a wide range of patients, including those with additional needs.
- Confident handling sensitive information and following confidentiality policies.
- Good standard of general education (minimum 3 National 4/Standard Grades or equivalent).
- SVQ Level 3 in Administration (or equivalent) desirable.
- Full UK driving licence essential.
